We’re looking for a proactive and skilled Project Manager to champion our clients’ priorities and guide projects smoothly from start to finish. In this role, you’ll act as the vital link between our design and development teams and our clients — making sure deliverables align with expectations and communication stays clear and consistent.

You’ll manage several projects at once, often across different phases — from early discovery to final delivery and post-launch support. That’s why we’re looking for someone adaptable, comfortable in a fast-paced, multi-project environment, and confident switching between tasks, teams, and priorities with ease.

What you'll be doing?

Project Involvement

  • Join projects at various stages — from kick-off to wrap-up — and take on different responsibilities depending on the team setup.

  • Your role will vary depending on the project's composition:
    - On development-only projects, you’ll take full ownership of timelines, scope, communication, and delivery — ensuring a smooth process from start to finish.
    - On design + development projects, you’ll share part of the planning and review responsibilities with the design lead, but remain fully accountable for client communication, task boards, and the development workflow.
    - On design-only projects, the structure is similar to mixed ones — you’ll collaborate closely with the design lead, while staying in charge of external communication and overall process clarity.

  • Confidently manage multiple projects or clients at once with a calm, autonomous mindset.

  • Stay deeply aware of each project’s context, goals, and constraints — maintaining high visibility without disrupting the autonomy of specialists and team leads.

Project Setup & Management

  • Set up and maintain internal workflows and documentation (typically in Notion), including:
    - Epics, task structures, and dependencies.
    - Toggl tracking and reporting.
    - Invoicing schedules and reconciliation of logged hours.

  • Lead onboarding for both clients and internal team members — whether at project kick-off or during a transition to a new phase — ensuring clarity, alignment, and a smooth start.

  • Ensure all stakeholders clearly understand their roles, responsibilities, goals, and workflows from day one.

Communication & Delivery

  • Act as the main communication bridge between the client and internal team, ensuring alignment on priorities, scope, and deliverables at every stage.

  • Support delivery by:
    - Breaking down and prioritizing tasks — independently or in collaboration with team leads.
    - Running regular check-ins to keep the team aligned and unblocked.
    - Leading client-facing meetings, demos, and discovery sessions — including preparation and follow-ups.
    - Confidently presenting and pitching progress or outcomes alongside the design and development teams.

Reporting & Quality Control

  • Track project performance and timelines through internal documentation (Notion, Google Sheets) and weekly workload reports.

  • Deliver structured weekly updates to internal leadership — covering capacity, milestone progress, risks, and budget alignment.

  • Ensure that all deliverables meet client expectations, project objectives, and quality standards.

  • Work closely with the team to finalize scopes, reconcile hours, close invoices, and ensure alignment with original estimates.

What is needed?

Experience & Background

  • 3+ years in a similar project management role, ideally in a fast-paced agency environment.

  • Hands-on experience working with both design and development teams — you understand the dynamics of creative and technical workflows and know how to bridge them effectively.

  • Proven ability to manage multiple short- and mid-term projects in parallel, across various stages and scopes.

Communication & Collaboration

  • Excellent communication skills — both written and spoken — with the confidence to lead client calls, internal syncs, and presentations.

  • At least Upper-Intermediate English (B2+) to comfortably work with international clients and teams. *Please note that one of the interview stages will include a conversation with a native English speaker to assess your communication skills in real context.

  • Strong client-facing abilities — you can build trust, understand client needs, and represent their priorities throughout the project lifecycle.

  • Comfortable navigating different team dynamics, adapting your approach based on project setup and roles involved.

Project Management & Tools

  • Proficiency in project management tools such as Notion, Linear, Jira, Google Office or similar.

  • Skilled in setting up and maintaining task boards, structuring epics and dependencies, and ensuring nothing falls through the cracks.

  • Strong understanding of resource planning, timeline management, and budget tracking.

  • Strong organizational, prioritization, and problem-solving abilities.

  • Confident in leading people, supporting team members, and guiding collaboration across roles.
